Privacy Policy

Welcome to Expertivia. This Privacy Policy explains how we collect, use, and protect your personal information when you use our services. We are currently operated by an individual.

By using our website, you agree to the practices described in this policy.

1. Information We Collect

We collect different types of information depending on how you interact with Expertivia. All data is handled securely and only for the purposes stated below.

1.1 Information You Provide to Us

We collect and store the information you submit directly when:

  • You create an account (e.g., your name, email address, and password).
  • You use our AI assistant, including messages you type.
  • You upload files to our platform.
  • You request a custom service or project via our on-site request form.
  • You sign in using OAuth providers (e.g., Google), which may include your name, email address, and profile picture as permitted by the provider.

1.2 Information We Collect Automatically (with Consent)

We use a custom-built analytics system that activates only after you consent via our cookie banner. If you do not consent, we do not collect this data.

Upon consent, we may collect:

  • IP address
  • Browser type and version
  • Operating system and device type
  • Anonymous analytics about your interaction with the website
  • User-Agent (browser details for analytics purposes)

We do not use third-party analytics providers like Google Analytics.

2. Cookies and Tracking Technologies

We use cookies and localStorage to enhance your experience on Expertivia. These technologies help us manage sessions, personalize settings, and provide secure access to your account.

2.1 What We Use

  • Session & Authentication Cookies: Required to keep you logged in and maintain your session securely.
  • Flash Message Cookies: Temporary cookies that store success or error messages after actions like form submissions.
  • Theme Preference: Your light/dark/system theme choice is saved using localStorage.

2.2 Analytics Cookies (Upon Consent)

We only activate analytics cookies if you accept them through our cookie banner. These are used by our in-house analytics system to measure and understand how our services are used. No third-party tracking systems (like Google Analytics) are involved.

2.3 Managing Your Cookie Preferences

You may manage your cookie choices at any time through your profile settings. We also provide a clear explanation of this option in the cookie banner when you first visit the site.

Cookies and localStorage data may persist as long as your browser allows or until you clear them manually.

3. How We Use Your Information

We use the data we collect solely to operate, maintain, and improve Expertivia. This includes:

  • Creating and managing user accounts
  • Delivering the services you request (such as custom project development)
  • Responding to support or service inquiries
  • Improving our website and user experience through internal analytics
  • Remembering your preferences, like dark/light theme
  • Ensuring the security and integrity of our platform
  • Sending essential service-related communications (e.g., login alerts or confirmation messages)

We do not use your data for advertising purposes, and we do not share or sell your data to any third parties or marketing platforms.

4. Data Sharing and Storage

We take your privacy seriously and only share data when absolutely necessary to deliver our services.

4.1 Third-Party Services

We do not share your personal data with marketing or advertising platforms. However, we do rely on some third-party service providers to run Expertivia, including:

  • Hosting: Our website is hosted on Vercel.
  • Database: We currently store user data using NeonDB (subject to change if needed).
  • OAuth Providers: When signing in via services like Google, your name, email, and profile photo may be shared by that provider in accordance with their own privacy policy.

Currently, we do not process payments directly on the website. Payments are handled manually via platforms like PayPal, and any data you provide to them is subject to their terms and privacy policies.

4.2 Data Security

We protect your data using modern encryption techniques and secure infrastructure. Specifically:

  • Passwords and session identifiers are fully encrypted. Even we (the site operators) cannot read them.
  • Access to user data is restricted and secure.
  • We take care to prevent unauthorized access, modification, or disclosure of any personal data.

5. Data Retention

We retain user data indefinitely unless required by law to delete it. This includes account information, uploaded files, project requests, AI assistant messages, analytics data (if consented to), and technical metadata such as user-agent and IP data.

Account Deactivation and Deletion: Users can deactivate their own accounts at any time. After deactivation, the account will be automatically scheduled for permanent deletion after 30 days.

However, if the user has ongoing transactions, open support tickets, or there are legal reasons to retain their data, the account will remain deactivated indefinitely and will not be deleted. In such cases, the user may reactivate their account at any time, but deletion will not proceed until all obligations or legal requirements are resolved.

6. User Rights and Data Control

We are committed to respecting your privacy and being transparent about your data. Here’s what you should know:

  • Account Deactivation: You can deactivate your account at any time. It will be permanently deleted after 30 days unless you have open transactions, support tickets, or there’s a legal reason to retain your data. In that case, your account will remain deactivated indefinitely until you reactivate it yourself.
  • Data Access: We currently do not provide a self-service option to view or export your data. We're working to add more user control features in future updates.

We are not officially registered under frameworks like GDPR or CCPA, but we voluntarily follow core privacy principles such as data minimization, encryption, and user consent wherever applicable.

If you have concerns or questions about your data, please contact us.

7. Policy Updates and Contact Information

We may update this Privacy Policy from time to time. If we do, we will inform users directly via the email associated with their account.

By accepting this Privacy Policy, you also agree to any future updates or changes we may make to it.
